The Admission Associate/Data Manager provides support to the Director of Enrollment Management and the Admission Team in the day to day operations of the Admission Office to ensure a positive experience for prospective families, and the efficiency and effectiveness of the Admission Office. In addition to responsibility for the management of admission management systems, the AA/DM facilitates the re-enrollment process (with the DEM) and assists with all facets of the admission process, from recruitment to enrollment, PK-12. The AA/DM is an integral part of the admission team.
Responsibilities:
Data and Admission System Management
Serves as the admission system administrator for all current admissions and testing databases including: SchoolAdmin (Finalsite), ERB (ISEE), EMA (SAO/SSAT), Blackbaud (MyOKS)
Prepares detailed reports as requested internally (e.g. School Leadership) and external (e.g. DASL; Holy Child; RCAN) by capturing and helping to analyze data
Maintains online application materials, including all student records from inquiry to enrollment
Creates and maintains the admission communication campaigns via the admission system platforms
Liaises with the school’s Chief Technology Office on information systems to ensure consistent cleaning and reporting of data (myOKS)
Prepares and dispatches admission and enrollment surveys
Admission Operations
Supports the DEM with the Financial Aid process
Assists with planning, executing, and regular review process of admission events (open houses, school fairs, information sessions, etc.) to allow for a solid flow of qualified applicants to maintain capacity enrollment
Assists families through the application process including conducting interviews and tours
Assists with outreach to feeder schools
Attends various school and community events throughout the year, including occasional evenings and weekends
Represents and participates in professional organizations such as, but not limited to NJAIS, EMA, AISAP, ERB, NCGS, and MEC
Actively participates in the Student and Parent Ambassador Programs
Plans, in conjunction with administrators and parent ambassadors, welcoming and onboarding new families
Demonstrates and communicates a strong commitment to the goals of a Holy Child education
Other duties as assigned
Qualifications:
Strong interest in education, working within a tight-knit community of learning, and furthering the goals of Holy Child education
Strong preference for candidates with 3 to 5 years of admission experience
Bachelor’s degree in a related field
Working knowledge and demonstrated ability to use technology and student management systems, including but not limited to Microsoft Office, Google Workspace, Blackbaud, and Finalisite
Must be professional; exhibit a personal maturity, show discretion, and effectively deal with different constituencies.
Detail-oriented with highly effective communication skills and excellent interpersonal skills
Ability to work independently while also being a collaborative member of the admission team
Flexible schedule to work nights and weekends when required
Ability to effectively manage multiple tasks
This position is very active and requires standing, walking, bending, kneeling, stooping, and crouching. Employee must be able to lift or move objects up to 50 pounds
