Asheville School is currently seeking an Office Manager to join the Admission Department team. Reporting to the Director of Enrollment Management, this position supports the smooth operation of the Admission Department by coordinating prospective student applications, testing, and visits; maintaining electronic enrollment records and user access; coordinating the student and exchange visa program; performing typical office activities; and assisting with special events.
Primary Responsibilities and Duties
Office Support/Document Management
- Process/handle regular mail, bulk mailings, phone calls, and email and adds new inquiries to the Blackbaud Enrollment Management System.
- Create fillable and other forms, applications, and checklists, ensuring that all applicable pieces are correctly linked.
- Ensure office is managing candidate applications properly and in a timely manner.
- Upload and process all application pieces as they come in through a variety of formats and systems.
- Prepare completed candidate files for committee review and send notification to committee members.
- Process admission decisions and print decision letters. Assign, generate, and process contracts.
- Tag appropriate financial aid/Merit awards to files and generate/print award letters.
- Create and maintain the electronic routing of official notes ensuring proper delivery.
- Ensure candidate status automatically updates as application milestones are completed.
- Order and maintain inventory of promotional items, visitor t-shirts, acceptance gifts, and reception room supplies.
- Maintain hard copy and electronic files.
- Manage the office calendar.
Blackbaud Enrollment Management System Administration
- Serves as the primary point of contact between the Admission Department and Blackbaud to ensure the system is functioning as expected. Troubleshoots routine system issues.
- Determine, set up, and adjust the flow of information in the system to obtain the desired outcome.
- Effectively utilizes the system to generate and disseminate associated documents and maintain electronic records.
- Create queries and advanced reports to pull requested data.
- Manage user access and their online experience, and ensure efficient user operation, providing assistance to families as needed.
Prospective and New Student/Family Service
- Communicate with families throughout the application process and send manual and automated communications throughout the year.
- Schedule campus visits.
- Administer the SSAT test seven times a year.
- Set-up and manage the SAO common application.
- Import application pieces and test scores to appropriate candidate files.
- Ensure decisions and contracts are available for viewing through the portal on the specified date.
- Assist with and be onsite for Opening Day, Open House, and Comeback Day.
- Prepare materials needed for prospective and new student events and process registrations.
Student and Exchange Visitor Program (SEVIS) Coordination
- Serve as Principal Designated School Official (PDSO), ensuring Admission Department compliance with associated regulations.
- Prepare and maintain proper and correct documentation related to this program and submit required records and documents on a timely basis. This includes, but is not limited to, the School’s annual PDSO/DSO verification and the biennial recertification application.
- Register students in the USCIS/SEVP system at beginning of the year and every trimester.
- Communicate with students to ensure their I-20s have current PDSO/DSO travel signature.
- Handle any issues that may arise with CPB anytime students enter the country.
- Add new school officials and assign/delete roles in the SEVIS system and keep them up to date with procedures and requirements.
Secondary Duties
- Open and/or respond to Director of Enrollment Management’s email and voicemail as needed.
- Conduct campus tours as needed.
- Attend training, conferences, and meetings as needed or required.
- Manage the use of the Highlander and golfcart.
Minimum Qualifications Required
- Five years’ progressively responsible experience as an office professional, which includes managing electronic records.
- Experience with an educational institution information management system.
- Proficient with Microsoft Office programs.
- Effective oral and written communication skills.
- A “customer” focus and ability to respond to emotional families calmly and with empathy.
- Ability to manage multiple priorities, which includes seeing the bigger picture while focusing on the details.
- Ability to workeffectively with a wide range of individuals in a diverse community.
Preferred Qualifications
- Associate’s Degree in office technology or related field.
- Proficient with Blackbaud enrollment management system.
- Experience working with an international student program (subject to SEVIS requirements) and demonstrated knowledge regarding the associated regulations.
- Experience working in a boarding high school.
