Director of Financial Aid & Assistant Director of Admission
Summary: The financial aid director is responsible for all functions of Chadwick School’s financial aid program. This job involves coordinating and administering all tasks associated with paperwork and records for current and prospective financial aid families, analysis of individual financial circumstances of applicants, communicating with financial aid families and making financial aid awards. The financial aid director is responsible for long-term financial aid planning and goal development and also participates in the financial aid component of enrollment management. The financial aid director serves as a liaison between the admission/financial aid offices and the business office. In the admission arena, the Assistant Director of Admission represents Chadwick School to prospective families and assists in a number of admission and enrollment management functions and events. The Director of Financial Aid reports to the Dean of Admission.

Collect, coordinate and maintain all paperwork, spreadsheets, and records for financial aid applicants who are also applying for admission, and for all current financial aid families. Update records and databases on an ongoing basis.
Determine equitable, need-based awards and incidentals for continuing and new students and for current students new to aid. Communicate orally and in writing with financial aid students and parents.
Coordinate awards from special scholarship funds and maintain records and balance reports for funds, in coordination with the business and, where appropriate, with the development office.
Maintain ongoing communication with the business office with regard to budgets, enrollment and re-enrollment data, and individual student updates for new admission, re-enrollment, and withdrawals.
Serve as a liaison with student recruitment organizations where financial aid is involved.
Participate in the School and Student Services and the financial aid organization of the LA Consortium of Independent Schools (FA3).
Create statistical reports and benchmarking reports for internal and external use.
Assist in preparation of INDEX and NAIS data reporting.
Other duties as assigned.
Participate in prospective student/family visitor programs as a member of the admission team
Attend admission recruiting events and school fairs as a representative of Chadwick School.
Conduct parent admission interviews in support of the admission function
Conduct and coordinate demographic research to support the enrollment management marketing plan.
Observe and guide evaluation collection in the admission process, including producing the necessary paperwork and evaluation records.
Process cumulative files for newly enrolled students.
Partner with the Director(s) of admission to coordinate the admission parent volunteer program and student host program.
Assist in preparation for and attend admission events: tours, information nights, campus open houses, and home receptions.
Work with the office operations manager to develop a schedule and coordinate student visits and interviews for Middle School and Upper School applicants.
Work with the office operations manager to schedule and coordinate interviews for parents of Middle School and Upper School applicants.
Participate in the decision-making process of the divisional admission committees.
Assist in tracking attrition, and grade-level enrollments and projections.
Send exit interview paperwork to division heads and to parents.
Record student withdrawals and maintain exit documents.
An undergraduate college degree or equivalent work experience.
Demonstrated ability to provide sometimes complicated and nuanced data in digestible forms and formats for both administrative colleagues and trustees.
Develop regular reports on core financial aid information
Maintain admission “ongoing” and historical data for reporting
The ability to hold information in confidence and to set appropriate limits with families and colleagues
Excellent listening skills, a high degree of compassion and empathy in work with families and colleagues, and sound judgment.
At least five years’ experience preferred with the financial aid administrative process and/or an understanding of the components of the admission and financial aid processes in independent schools or independent colleges or university contexts.
Outstanding computer skills, including database management, (the job involves Senior Systems, Ravenna, and SSS) and an understanding of all of the Microsoft Office programs and Google suite.
An understanding of and a commitment to Chadwick School's mission and core values.
Well-developed organizational skills and the ability to manage multiple tasks and projects simultaneously.
Strong writing and oral communication skills.
