Newark Academy and the Office of Admission and Enrollment Management are seeking an Office Manager to join the Admissions Team and support Newark Academy and our annual admission and enrollment objectives. This position will work closely with the Director of Admission and Enrollment Management, the Director of Admission Operations and Financial Aid, and the Admission Office staff to support the larger Newark Academy community and the annual enrollment or re-enrollment processes. This is a full time, 12-month position with hours of 8:00 a.m. to 4:00 p.m.
Reports to: Director of Admission Operations and Financial Aid
Serve as the primary support staff member for the Office of Admission and Enrollment Management, managing the daily office calendar for the Director of Admission and Enrollment Management, overseeing the departmental calendar, offering administrative support to all team members.
Responsible for monthly budget management for the department accounts (excluding Financial Aid budget), including: maintenance of budget line item spreadsheet tracking amount spent by line-item, monthly reconciliation of monthly credit card charges and serving as first point-of-contact with Accounts Payable in the Business Office.
Act as the first point-of-contact for all admission related inquiries, communicating clearly and efficiently all requirements and deadlines for the admission and enrollment process.
Prepare and issue inquiry mailings weekly
Maintain a phone message and email log to ensure that contacts are routed to appropriate staff members and that all calls/emails are returned promptly.
Receive training and become proficient at the distribution of push pages, with content created by other members of the team.
Assist the Assistant Director of Admission in the planning, executing, and staffing of all Admission and Enrollment Management-related events, including scheduling of all events via FMX, coordinate all food and beverage and technology needs related to the events.
Schedule all prospective student and parent visits and interviews.
Work closely with the Associate Director of Admission to create schedules for student visits.
Coordinate, in consultation with other members of the admission team, the interview schedule.
Clearly communicate Office of Admission guests to the Front Office Manager in advance of scheduled visits and interviews.
In coordination with the Database Manager, process and upload admission documents and ISEE and SSAT score reports.
Assist Database Manager with issuing admission decisions and enrollment contracts. Responsible for ongoing email and phone contacts with all families until enrollment contracts are returned.
Support Admission Committee process, working with the Director of Admission Operations and Financial Aid and the Director of Admission and Enrollment Management to determine the schedule of meetings, then reserve all necessary rooms (via FMX) and coordinate all food and beverage and technology needs related to the meeting of the admission committee.
Serve as the ISEE Test Site Supervisor, including working with Director of Admission Operations and Financial Aid and Director of Admission and Enrollment Management to schedule ISEE test dates, reserve facilities and arrange staffing for admission testing days.
Organize and order all office supplies, as well as keep an inventory of office supplies.
Two to five years of administrative assistance experience in a fast-paced office setting is preferred.
Excellent communication and interpersonal skills with a demonstrated commitment to working collaboratively and courteously with a diverse population of students, parents, alumni, and colleagues.
Strong organization and project management skills, with the proven ability to successfully manage multiple projects and deadlines.
Experience working with and supporting a diverse community of students, parents, and colleagues
Strong customer service orientation.
Experience with one or more CRM database systems, preferably a student enrollment database system.
Proficiency in Microsoft Office Suite and GSuite, with ability to quickly learn other school-related software as needed.
Ability to work evenings and weekends when necessary.
Bachelor's degree required.
