The Administrative Assistant to the School and Admission Office will be the first point of contact at Cambridge Friends School. This person will assist with the day-to-day activities related to engaging with current families at the front desk as well as prospective families entering the admission process. This role will be the first point of contact for prospective families inquiring about Cambridge Friends School and for current families during their day-to-day Cambridge Friends School experience. The successful Administrative Assistant to the School and Admission Office provides confidential, professional administrative support as required by the Admission Office, the Head of Lower School, and the Head of Middle School. The Administrative Assistant to the School and Admission Office possesses exceptional organizational strategies and the ability to coordinate competing demands in a fast paced environment. The position requires strong relational skills and the ability to connect with multiple constituents including current and prospective families. The Administrative Assistant to the School and Admission Office reports directly to the Director of Admission and Financial Aid. Administrative Assistant to The School: - Serves as the welcoming face of the school, buzz in visitors, ensures they sign in, monitors the coming and going of school visitors, faculty and staff needs, address student needs, release students, and interact with parents, guests, visitors, and trustees.
- Answer all phone calls and transfer them to the appropriate offices.
- Provides confidential administrative support to the Head of Lower School, and Head of Middle School as it pertains to managing schedules and calendars.
- Manages and organizes the faculty mailboxes, adjusting year to year based on Faculty changes and shifts.
- Maintaining and updating the office bulletin board in the entry of Cadbury Road
- Distributes the mail and attends to the postage machine.
Administrative Assistant to Admission: - Manage the Blackbaud OnBoard database for the Admission Office, including data entry and maintenance of data accuracy.
- Accurately communicate the process of applying to CFS and applying for financial aid to prospective families
- Maintain knowledge of curriculum, classroom projects, programs, etc to keep a pulse on the learning environment to engage with prospective families around curriculum.
- Partner with Director of Admission and Financial Aid to coordinate the admission funnel from inquiry through enrollment: take inquiries, schedule interviews, and visit days, communicate with families as assigned by the Director of Admission and Financial Aid, process application materials, process and document admission testing, and track admission outreach.
- Manage enrollment materials including acceptance letters, yield mailings for admission events, and enrollment and re-enrollment contracts.
- Admission inquiries follow up.
- Participate in planning and logistics for admission events, including tracking RSVPS, coordinating event materials, and event follow up.
- Coordinate with Director of Admission and Financial Aid to order admission office supplies.
