The Database Manager will join a dynamic five-person team of admission professionals who are responsible for all aspects of Newark Academy’s student recruitment, enrollment and financial aid services. The Database Manager will serve this team as well as to assist Newark Academy’s Director of Technology in the integration of that admission/enrollment database with compatible systems, all of which are built on the Blackbaud platform, used by other departments of the school. This position is full-time, 12 month position.
Reports to: Director of Admission and Enrollment Management
Serve as the liaison between the Office of Admission and Enrollment Management and Blackbaud.
Serve as the liaison between the Office of Admission and Enrollment Management and the Department of Technology.
Monitor and maintain admission and enrollment records in the Blackbaud system, which includes inquiries, applications, event registration, supplemental materials submissions, admission notification communications and enrollment/re-enrollment contracts.
Schedule ongoing end-user system training for all members of the Office of Admission and Enrollment Management staff.
Create and maintain set of policies and clear procedures to ensure efficient data flow and data integrity of the admission/enrollment management system and champion best practices in data culture.
Facilitate system collaboration by members of the Admission and Enrollment Management team.
Meet regularly (weekly) with the Director of Technology on issues related to school-wide systems integration and management.
Support inter-departmental collaboration within the Blackbaud system, working in conjunction with data managers in Academics, Advancement and Office of Finance.
Attend and participate in admission/enrollment management staff meetings, with an eye toward offering technology-driven solutions to emerging issues.
Provide log-in and end-user technical support to families of current and prospective students in order to facilitate timely, accurate completion of the online application and submission of supporting documents required in the admission process.
Evaluate all system upgrades and/or add-on features and make recommendations to the Directors of Admission and Technology regarding implementation.
Generate standard reports and create custom reports from the system in order to assist admission/enrollment staff in managing departmental metrics.
Manage imports/exports between Blackbaud products and other platforms as needed.
Maintain historical data in the system to ensure accurate and efficient reporting of year-over-year data.
Initiate and complete annual “rollover” of enrolled students to the appropriate system managed by Newark Academy’s academic team.
Identify opportunities for improvements in data use in order to streamline and automate admission/enrollment management and financial aid processes.
Perform system troubleshooting for all members of the team.
Conduct regular system audits to identify issues and offer recommendations for process improvement.
Bachelor’s degree in systems, database management, information science or related field (preferred)
2-3 years of related experience, preferably in an educational setting
Demonstrated knowledge of data management standards, best practices and procedures
Database management certifications (preferred)
Demonstrated problem-solving skills
Exemplary attention to detail
Strong organizational skills
Demonstrated ability to meet deadlines
Ability to manage multiple projects and multiple priorities simultaneously
Excellent interpersonal skills and communication skills and the proven ability to work with a variety of constituents
Knowledge of trends in data management, technology in education and client service
