Newark Academy is seeking a highly motivated individual with strong communication skills to serve in the role of admission office manager. The office manager supports three admission officers, oversees support efforts of two support staff members, serves as the first point-of-contact with a range of constituent groups, and has primary responsibility for making prospective students and their families feel welcomed and supported throughout the admission process from inquiry through enrollment.
Serve as the primary support staff member for the Office of Admission and Enrollment Management, managing the daily office calendar for the director of admission and enrollment management, overseeing the departmental calendar, offering administrative support to all team members, and assisting with budget management.
Act as the first point-of-contact for all admission related inquiries, communicating clearly and efficiently all requirements and deadlines for the admission and enrollment process.
Oversee the electronic admission process and provide assistance to prospective families (approximately 650 applicants per year).
Create and distribute inquiry and enrollment reports for various departments as requested.
Assist in the planning, executing, and staffing of all Admission and Enrollment Management-related events.
Schedule all prospective student and parent visits and interviews.
Work closely with the associate director of admission to create schedules for student visits.
Coordinate, in consultation with other members of the admission team, the interview schedule.
Issue enrollment contracts and manage the collection and reporting of all returning student contracts.
Organize and order all office supplies, as well as keep an inventory of office supplies.
Two to five years of administrative assistance experience in fast-paced office setting preferred.
Excellent communication and interpersonal skills with a demonstrated commitment to working collaboratively and courteously with a diverse population of students, parents, alumni, and colleagues.
Strong organization and project management skills, with the proven ability to successfully manage multiple projects and deadlines.
Strong customer service orientation.
Experience with one or more CRM database systems, preferably a student enrollment database system.
Proficiency in Microsoft Office Suite and GSuite, with ability to quickly learn other school-related software as needed.
Ability to work evenings and weekends when necessary.
Bachelor's degree required.
