Summary: Responsibilities include management of all processes of student accounts, including billing and collections as well as coordination of student financial aid process from collection of supporting documentation, establishing and communicating deadlines, evaluation of need against provided criteria and approved budget and performing analysis of financial documentation and helping the Financial Aid Committee in its processors.
Reports To: CFO Position
Purpose: Maintain all aspects of Student Billing and Collections, Guide families through the Financial Aid Process.
Billing and Collections/Student Accounts
Manage all processes for student accounts and maintain accurate records.
Post Tuition and Auxiliary billing and application of payments received to household invoices and the General Ledger.
Send out monthly billing emails and reminders through the Veracross software system.
Prepare regular reporting of Accounts Receivable outstanding and identify emerging collections issues for appropriate action by the A/R Manager and the CFO.
Handle all necessary issues with the outside collection agency on old accounts and make recommendations for collections actions and system enhancements.
Manage regular communications with families including face to face meetings, phone and written communications regarding student accounts.
Work with the Database manager to update and prepare the Veracross system to send out Enrollment Contracts for the upcoming year.
Send out all Re-Enrollment contract communications, manage regular communications with parents and handle all deposit postings to the Veracross system.
Financial Aid Analysis and Support
Guide financial aid applicants through the financial aid process. Proactively communicate with families to ensure timely submission of documents and that all required documentation is submitted to the TADS Financial Aid system.
Analyze families’ submissions and related supporting documentation into TADS to determine eligibility for financial aid and TADS recommendation.
Develop management reports tracking historical financial aid awards, approved adjustments and the reasoning behind them.
Serve as Secretary of the Financial Aid Committee by presenting all accumulated information and keep track of the FA Committee Calendar.
Support the Financial Aid Committee to analyze new information provided by families during appeal process for re-evaluation of financial aid granted.
Thoughtfully communicate Financial Aid Committee decisions with compassion.
Act as the FA liaison to the school for all Ancillary Financial Aid communications during the year.
Evaluate available financial aid systems and make recommendations for improvements in current processes and systems.
